How to use / SOP

Purpose

Know at a glance what's low, what's about to expire, and which items actually matter most to your spend.

Standard

Stock status: out of stock (≤0), low (below par), OK (at or above par). Expiry: expiring soon (≤7 days), expired (past date). ABC: top items making up 80% of value = A, next 15% = B, remaining 5% = C.

Steps

  1. In Stock, add every item with a par level and choose FEFO (for perishables you track by batch) or Stock count (for simple periodic counts).
  2. In Batches, log each delivery for FEFO items with its expiry date, and log consumption as you use stock.
  3. The item flagged "Use first" is always the batch with the nearest expiry among what's left.
  4. In ABC analysis, enter a rough monthly spend per item to see which ones deserve the most attention in purchasing and counting discipline.

Reading the result

Class A items (top ~80% of spend) deserve tighter counting and reorder discipline; Class C items can be counted less frequently without much risk.

Notes

This tool doesn't connect to a live POS — stock levels are only as current as your last count or logged consumption.
